Updating Users and Employees

After setting up hierarchy and inventory background data, you have to ensure that the user information and email addresses are up-to-date in the Employees, Users, and Craftspersons tables. This is important because you need to make sure that all Move Management users are able to log into ARCHIBUS Web Central and that they will receive the correct Move Management email notifications.

If you are an existing ARCHIBUS user with licenses for other ARCHIBUS applications, you may have already developed some of your Employees, Users, and Craftspersons data.

Entering User Data

You can develop the Employees, Users, and Craftspersons tables using the ARCHIBUS Move Management application. You can synchronize your updated User data with your Employee data.

Synchronizing Users and Employees

After adding new users, make sure to assign the users the processes specific to their Move Management roles. For more information, see Assigning Roles to Users.

User Emails

The users who will be receiving emails include move requestors, move coordinators, approving managers, craftspersons, voice coordinators, and data coordinators. To make sure that all users receive email notifications, make sure to include employees and outside contractors who will be involved in moves in both the Users and Employees tables. In addition, craftspersons must be entered in both the Craftspersons and Employees tables. For more information on email notifications, see Understanding Email Notifications.

Notifying New Users of their User IDs and Passwords

After adding new users to the Users, Employees, and Craftspersons tables, it is important to send emails to the new users. The email should include the new user's ARCHIBUS Web Central User ID and Password.
