- Delay in Showing Room Type Hatch Patterns. If room categories and types are defined as hatch patterns, there is no longer a long delay in highlighting those rooms in the Space Planning Console and in Room Highlights by Category and Type. (3038898)
- Show Drawings with Unconventional Drawing Name. If the drawing name is not the standard “<building><floor>” convention, the drawing will still appear. This was reported an issue with some views, including the Department Space Request. (3040256, 3024921)
- Employee Update Without Location Does Not Create Transaction. If employee information is updated, but that information does not include location, the system will not create a workspace transaction for the change. (3040032)
- Assign Employees to Rooms with No Totals. Employees can be assigned to rooms whose categories’ Use in Calcs field is set to ‘No Totals’. (3032807)
- Click Rooms to See Workspace Transactions. In the Space Planning Console, the user used to have to mouse-over rooms to see their associated Workspace Transactions. This has been replaced with a click event instead. (3037987)
- Create Workspace Transactions When Changing Employee Departments. If the application parameter InferRoomDepartments is set to ‘1’, then employee department changes should also create workspace transactions to change the employee’s location departmental assignment. This now occurs when the change is made in Windows Client/Server and then the user runs Reconcile Workspace Transactions. (3040473)
- Removing an Employee Location and Later Adding One. With Workspace Transactions enabled and when an employee has a satellite location, if the user removes the employee’s primary location using Define Employees, and then later updates the location, the system now creates Workspace Transactions accordingly. (3040966)
-
Used in Calculations field of Room Categories table. The canonic HQ database for V.21.2 will REMOVE two enumeration-list values for the field Used In Calculations in the Room Categories table (rmcat.used_in_calcs). The removed values are:
- rm_totals;Room Totals Only
- dp_comn_ocup_totals;Dept., Common, Ocup Totals Only
These values are not widely used and are in most cases redundant with the other two values "All Totals" and "No Totals". As our documentation already suggests, using "All Totals" and "No Totals" allows users to draw rooms within rooms, while rolling up either the outer room or the inner rooms to area totals and avoiding double-counting area.
If you have used "Dept., Common, Ocup Totals Only" or "Room Totals Only", you have choices while upgrading:
1) Re-insert these values into the rmcat.used_in_calcs enumeration list
2) Run the following SQL to remove these values from your database:
UPDATE rmcat SET used_in_calcs = 'no_totals' WHERE used_in_calcs = 'rm_totals'
UPDATE rmcat SET used_in_calcs = 'all_totals' WHERE used_in_calcs = 'dp_comn_ocup_totals
If you proceed with #2, be aware that any secondary circulation that was previously included in area totals may now be remaining area. To include secondary circulation in area totals, you may have to draw that area and assign its category to 'all_totals' if it wasn't previously drawn. (3041160)

Changes in Building Operations Management V21.2.2.150
- Service Request Status from Group Move Requests. If a group move request is defined to be serviced by the Move Management application, and if the requestor does not enter any individual moves when creating the group move request, then move order status updates do not update the original service request status. (3038809)
- Problem Resolution Codes. In Update Work Orders and Work Requests, the Supervisor may select to add an existing Problem Resolution Code. In Create Request, the Client may select to add an existing Problem Description Code. (3040911) (3040913)
- Edit and Approve Changes Escalations. When the edit made during the Edit and Approve step results in a new SLA, the request steps are updated to follow the new SLA. In addition, the escalation for response and completion times are re-set to the new SLA. (3032155)
- Client Verification. The Client role can now perform verifications (if defined by SLA) in the Client / View Maintenance Service Requests view. (3029332)
- Planning Board Drag and Drop. In some cases, users reported issues trying to drag and drop tasks on the Planning Board. The Planning Board files have been updated to mitigate this issue. (3039998)(3041437)
- Manage Un-Submitted Service Requests for Group Moves. The Manage Un-Submitted Service Requests view now allows for employee assignments for Group Move request types. (3039391)
Changes in Environmental & Risk Management V21.2.2.150
Environmental Sustainability Assessment
- Assessment Manager / Manage Assessment Items view. The PDA button has been removed since users can now use the Assessments mobile app to collect data.(3042568)
Environmental Health & Safety
- OSHA Forms 300 and 300A. Injury Categories. The schema database now includes EH&S injury category values that the application uses for completing OSHA Form 300 and 300A. These are: OTHER, POISONING, RESPIRATORY CONDITION, SKIN DISORDERS (3039781)
MSDS
- Locations Highlight. Export to PDF. The problem of column names overlapping when you export to PDF has been corrected. (3035307)
- Print MSDS. The problem of using he mini-console to filter or sort on any of the location-based fields (Site, Building, Floor, Room, Equipment) has been corrected. (3039847)
Energy Management
- Edit Locations. The problem of the “Edit Locations” view not restricting the validation list for a building’s heating/cooling type to show only those records associated with Energy Management bill type has been corrected. (3040496)
Changes in Workplace Services V21.2.2.150
Reservations
- Canceling Recurring Reservations. The application doesn't allow users to cancel past reservations in a recurrence series, unless the user belongs to the Reservations Service Desk or Reservations Managers user groups. (3036941)
- Archived Reservations. When archiving old reservations, the application now leaves all Canceled or Rejected records with this status, and only changes Awaiting App. and Confirmed ones to Closed.(3030979)
- Create New Room Reservation and VPA. Previously, in the Create New Room Reservation view, a user is able to reserve rooms in their employee-assigned building or site, even if that building or site is not on the VPA list of sites or buildings to which they should have access. This has been corrected. (3039509)
Known Limitations of ARCHIBUS V21.2.2.150
The following are known issues with this version of ARCHIBUS.
ARCHIBUS Help Known Limitations
- Internet Explorer. Table of Contents. On IE7 and on IE9 in compatibility mode, the help system's Table of Contents does properly align the icon with the text on long entries. If IE9 users turn off compatibility mode, the Table of Contents displays correctly.
- Internet Explorer. Searching. For all versions of IE, when you search and then choose a topic from the Search Results. the system correctly goes to the topic. However, if you now choose the IE Back arrow to return to the Search Results, the help system displays its home page. Choosing the Back arrow again brings you to the Search Results. (3039554)
- Internet Explorer 9. Process Navigator's Help command. On IE9, right-clicking on a Process Navigator role or process in Web Central does not call the corresponding help topic for this process or role. Instead, you receive the home page of the help system. You can then use the Contents, Index, or Search features to move to the appropriate topic. This is not an issue for other browsers. (3039160)
- Google Chrome. The search highlight will not show in the topic unless the help system is on a server. Also, if you run Web Central on Google Chrome v20, the Help window does not display correctly. Updating to Google Chrome v21 solves the problem. (3036825
- Running Help Systems in Browsers with Debug Settings Turned On.You may encounter error messages when running ARCHIBUS Help and System Management Help if your browser is set to debug mode, such as IE8 users turning on Tools->Internet Options->Advanced->Settings->Browsing->Display a notification about every script error. If you clear these types of settings, the help systems will run without presenting error messages (3039524)
Mobile Known Limitations
- Mobile Framework. Low Memory Conditions. Under low memory conditions, your mobile device may remove the ARCHIBUS applications from memory. If this happens, ARCHIBUS will resync the apps the next time you start with a wifi connection to the server. If you do not have a wifi connection when next you start the device, iOS will display a blank screen and Android devices will display a "URL not available" message. To rectify the condition, simply start the device again when you do have a wifi connection, and the resync will proceed normally.
-
Workplace Services Portal mobile app The My Department Space menu shows the Allocation plan type, highlighting on the floor plan rooms of different departments, and also highlighting in yellow rooms belonging to user's department. In order for the app to show a floor plan that highlights only the rooms of user's department, import the active_plantypes_mydeptspace.csv file. The import will add the "15 - MY DEPT SPACE" plan type to the active_plantypes records. The app will use this plan type to show user's department space on the floor plan. (3042618)
- Space Book. Hazmat Floor Plan. The Hazmat floor plan displays only the Room Code for the rooms with Hazmat conditions, instead of also displaying Product Name and Tier 2 Classification. To solve this issue, import data from the active_plantypes.csv file, which is located under the [archibus installation folder]\projects\users\public\dt folder. (3039496)
- Asset & Equipment Survey. Create New Survey. Sybase 12 Runtime. If you are running Sybase 12 Runtime, you will encounter a table definition error when attempting to create a new survey. This is not an issue if you run Sybase Web Edition. (3042387)
Web Central Known Limitations
-
Grid. API.Grid panels can display custom values calculated in Java Script code. An example can be seen in this view:
Path: Technologies / User Interface Add-Ins / Assemblies with Multiple Panels / Find-Manage with Categories
File: ab-products\solutions\assemblies\work-wizard\ab-ex-work-wizard.js
Function: updateLocations()
This example displays the custom Location field that is composed from Building, Floor, Room, and Location database fields.
The example also includes a menu that allows the user to produce reports with the grid data. Due to Web Central technical implementation limitation, custom values formatted in Java Script code cannot be displayed in these reports.(3041685)
- Grid. API. The Clear Filter icon is not visible if the last grid column is hidden. To avoid the issue, add an empty last column. The condition does not affect any of the ARCHIBUS applications. (3040363)
- Security. LDAP. The result of using a distinguished name with a comma results in this error in archibus.log: "LDAP: error code 49 - Invalid Credentials". The solution is to change the bind user's "CN=" value to a name that does not contain a comma. (3037258)
- Schema Change Wizard. The documentation is incomplete on subjects such as how to avoid duplicate primary key errors when reducing a primary key, how to add an auto-numbered default to an Oracle table that already has data, and other advanced issues. (3032644, 3033565)
- Data Transfer to Excel. When exporting decimal data to Excel, when Web Central user is in one locale and Excel is set to a different locale (i.e. when the decimal separator in one is a comma and in the other is a decimal point), review the rounding of the decimal data in the Excel file to verify that it is appropriate for your use. (3035375)
- Drawing and Chart Controls. Internet Explorer 9. If you are using Internet Explorer 9 and the content of your drawing and chart controls appear in the upper-left corner of the screen, download an update for Adobe Flash Player 10 (version 10.3.181.16 or later). This version of Flash resolves an issue with Flash and systems with an Intel HD adapter.
- Adobe Flash Player. Some versions of the Flash player (e.g. 10.0.32.18) will give an error, "'FABridge.abDrawing' is null or not an object". Upgrading to a later point release or version of the Flash Player resolves the issue. (3034761)
- Eclipse and Ant. If you are using ARCHIBUS Eclipse 1.9 distribution that ships on the V.21.2 DVD, you cannot compile application Jar files from Eclipse using Ant. If you try to do so, the build will fail. To resolve this issue, please contact your dealer or ARCHIBUS technical support and request the latest revision of ARCHIBUS Eclipse 1.9 distribution. (3042575)
- Localization Kit. Large Strings. Running the Technologies / Localization / Localization / Export or Import Glossary Files task - "Read Strings in to Glossary" action results in a message stating that: "The index entry of length 1079 bytes for the index lang_glossary_PK exceeds the maximum length of 900 bytes." This only happens in SQL Server environments. If you encounter this error when localizing strings over 900 bytes, consider using Oracle or Sybase for localization. (3037628)
Smart Client Known Limitations
- Editing Standards Tables. If you edit Furniture or Equipment Standards with the default database, the titles for the Length and Width fields will show incorrectly as "ft" or "M". If you log in with a different locale (e.g. view an Imperial project as a Metric user) the program will convert the values. The condition also occurs in Furniture or Equipment Standards views loaded in Web Central. To avoid this condition in both environments, load the ARCHIBUS Fields table (afm_flds), find the Length and Width fields, and change their Numeric Format from "Length" to "Default". (3037311)
- Drawing List. Document Management for Drawings. The Drawing List is sluggish for large (thousands) of record drawing lists. Most large teams prefer to use virtual-private ARCHIBUS to divide the drawing list by area of responsibility.
- Stop command. This command gives a benign error if Microsoft SQL Express is installed and not running on the workstation. (3035387)
- Web Central browser. If you are using page navigation, certain chart and drawing views (e.g. the Cost Analysis task from the Quick Start home page) load, but then give an error when you click the page navigator home tab. The error does not occur if you load the view from a Web browser started from outside of the Smart client. (3042702)
Smart Client Extension for AutoCAD Known Limitations
- Quick-Start and Smart Client Extensions. The user AFMSTART cannot start Smart Client Extensions by default, because that user's license setting in the database was incorrectly set. To change this, please follow the instructions below. Note that this change is not required for the Quick-Start database.
1. Start the Smart Client, load any grid view.
2. Invoke Data Transfer, from the View group of the ribbon menu.
3. Select Transfer In and the Local File option.
4. Browse to the file <workgrpsvr>\projects\users\public\dt\afm_users-extensions_license-afmstart.csv. (3042663)
- Default asset text and text height for rooms. Default settings for the Smart Client Extension for AutoCAD show room text height a bit too large, and text for Room Code, Area, and four other attributes that may render the drawing too crowded. To change the text height, and to show only Room Code and Area, follow the below steps to make changes to your database. Note that this change is not required for the Quick-Start database.
1. Start the Smart Client, load any grid view.
2. Invoke Data Transfer, from the View group of the ribbon menu.
3. Select Transfer In and the Local File option.
4. Browse to the file <workgrpsvr>\projects\users\public\dt\abspaceroominventorybar-afm_atyp-rm-text_height.csv, where <workgrpsvr> is your Web Central server name. Select "Start Transfer." This will change default room text height.
5. Browse to the file <workgrpsvr>\projects\users\public\dt\abspaceroominventorybar-afm_flds-rm-asset_text.csv, where <workgrpsvr> is your Web Central server name. Select "Start Transfer." This will change the text that shows by default in your rooms. (3042613)
- BOSMED03 drawing. AutoCAD drawings can be launched from the Drawings tab of the Smart Client. The Drawing for the third floor of the BOSMED building does open because the file name in the database is incorrect. You can correct the file name by following the below steps. Note that this change is not required for the Quick-Start database.
1. Start the Smart Client, load any grid view.
2. Invoke Data Transfer, from the View group of the ribbon menu.
3. Select Transfer In and the Local File option.
4. Browse to the file <workgrpsvr>\projects\users\public\dt\afm_dwgs-rename-bosmed03.csv, where <workgrpsvr> is your Web Central server name. Select "Start Transfer." (3042611)
-
Process Navigator Update. The Quick-Start process includes working in the Smart-Client extension for AutoCAD. This extension contains a single focused process navigator for space management. There are several new commands that users should add to this process navigator to make it more complete. Follow the below steps to add these new commands. Note that this change is not required for the Quick-Start database.
1. Start the Smart Client, load any grid view.
2. Invoke Data Transfer, from the View group of the ribbon menu.
3. Select Transfer In and the Local File option.
4. Browse to the file <workgrpsvr>\projects\users\public\dt\abspaceroominventorybar-afm_ptasks-sc_cad-process-navigator.csv, where <workgrpsvr> is your Web Central server name. Select "Start Transfer." (3042620)
- Large Floor Plans. When dealing with very large floor plans (3,500 rooms on a single floor), commands like Catalog Layer and Highlight by Department do not give progress feedback, but do work.
- Reset to Automatic. This asset text command does not work on asset text produced by the Windows Client/Server Overlay command. If it gives an error, use the Catalog command on the asset in the Smart Client Extension for AutoCAD, then use the Reset to Automatic per normal.
- New Drawing Command. You cannot attach drawings that contain an apostrophe (') in their name. (3032133)
- Edit Data. Suite Areas. If you use Edit Data on suite areas, and if you use Select Values to select an existing suite, the area in the form shows temporarily as 0. If you press OK, the correct area is recorded and appears correctly on subsequent invocations of the command. (3035340, 3034959)
- Publish Enterprise Graphics. Does not publish AutoCAD Architecture objects to enterprise graphics. Use the "AECTOACAD" command on these drawings. (3029616)
- Highlighting Commands. If some areas don't highlight with solid highlights, they might be open not closed polylines. If so, close them. The AutoCAD solids don't fill unclosed-closed polylines. AutoCAD hatch patterns do, however. Notice that if you have multiple areas of one type (e.g. Office standard), having one unclosed polyline may cause others to also not have a solid fill (since ARCHIBUS hatches many of them in one go for efficiency's sake). (3030818)
Smart Client DWG Editor Known Limitations
- Process Navigator Update. The Quick-Start process includes working in the Smart-Client extension for AutoCAD. This extension contains a single focused process navigator for space management. There are several new commands that users should add to this process navigator to make it more complete. Follow these steps to add these new commands:
- Drawing Publishing. The Color Mapping field has been added to the ARCHIBUS Drawing Publishing Rules table. Use this field to enter a RGB hexadecimal value or a named color value that the application uses for publishing entities for all enterprise graphics. The Color Mapping field can be used for SWF and EMF output. Currently, it is not supported for SVG files.(3035810 )
- Startup. After installation, you must start the DWG Editor from the Windows Start button the first time for the ARCHIBUS Extensions to enable. After that, you can launch the DWG Editor from the Smart Client Drawing List if you set your CAD Preference to be the DWG Editor. (3031423)
- AutoCAD Architecture drawings. The DWG Editor does not open drawings that need extensions to render their proxy objects, as these extensions are not present in the AutoCAD OEM version on which the DWG Editor is based. Use the "AECTOACAD" command on these drawings to use them in the DWG Editor. (3032171)
- Start or Stop Reactors Command. This command on the Utilities ribbon menu defaults to false by default, while the Extension for AutoCAD defaults to true. (3028172)
Smart Client Extension for Revit Known Limitations
- Deleting Rooms. Revit does not notify ARCHIBUS when Revit deletes rooms. Currently, ARCHIBUS cannot uncatalog rooms on that event. Use the Synchronization / Uncatalog Records without Assets command to clear the Drawing Name and Id fields on these rooms in one step.
- Web Query Command. Is intended to work on rooms, furniture, and equipment; but does not provide additional information for other asset types, such as gross, group or suite areas. For these elements, use the Edit Data dialog to display all relevant properties. Also, if the last primary key value for an asset is a single digit (e.g. if you query for room "1"), then the pop up dialog results are not restricted to that one record. This doesn't occur for two- and three-digit IDs (e.g. room "10" or "100"). (3035367, 3035366, 3034950, 3034414)
- Publish Enterprise Graphics. While the Extension does filter for visibility, in some cases, invisible lines -- such as walls that are visible but hidden by a floor element -- show in any case. The very first entity in a Revit model or AutoCAD drawing is not published to the SWF file. This condition is typically only noticeable in very small test drawings. (3035308, 3034839)
- Edit Data and Long Parameter Values. If you have a parameter value (e.g. Name) mapped to an ARCHIBUS field (e.g. Option 1), and that parameter has an existing value longer than the field width in ARCHIBUS, then you will not be able to create a record using Edit Data. You can shorten the parameter value using the Revit Parameters dialog. Alternately, if you use the ARCHIBUS Catalog command, the command will find all of these conditions and allow you to rectify them individually or in groups. (3034793)
- Edit Data and Group Areas. For new groups, the Group Code will show as "1" until the record is actually saved. Thereafter, the proper autonumbered ID will show. (3034828)
- Edit Data and Suite Areas. If you use Edit Data on suite areas, and if you use Select Values to select an existing suite, the area in the form shows temporarily as 0. If you press OK, the correct area is recorded and appears correctly on subsequent invocations of the command. (3035340, 3034959)
- Map Database Fields. This form is empty if there are no assets in the model of the specified asset type. (3034357)
- Copy / Paste Issue. If you copy and paste furniture and equipment, you also copy and paste their Revit properties. Use the ARCHIBUS synchronization commands to find and resolve any duplicates. (3030989)
-
Sample Data Error. The Revit model for floors 1 and 2 of the BOSMED building does not connect to the database because the file name in the database is incorrect. You can correct the file name by following the below steps. Note that this change is not required for the Quick-Start database. (3043373)
1. Start the Smart Client, load any grid view.
2. Invoke Data Transfer, from the View group of the ribbon menu.
3. Select Transfer In and the Local File option.
4. Browse to the file <workgrpsvr>\projects\users\public\dt\afm_dwgs-quickstart-dwg_name-dwg_file.csv, where <workgrpsvr> is your Web Central server name. Select "Start Transfer."
5. When the transfer completes, click Start Over.
6. Select Transfer In and the Local File option.
7. Browse to the file <workgrpsvr>\projects\users\public\dt\ rm-quickstart-dwgname.csv, where <workgrpsvr> is your Web Central server name. Select "Start Transfer."
8. Run the following SQL to remove the old values from your database:
DELETE FROM afm_dwgs WHERE dwg_name IN ('BOSMED01', 'BOSMED02')
Reservations Plugin for Microsoft Outlook Known Limitations
- Adjusting the time. When accessing an existing reservation from the Outlook Plugin, you cannot adjust the time for the reservation by clicking and dragging the edges of the slider in the time line. This also occurs if you are using a high-resolution monitor (greater than 1850 pixels), and click View My Reservation from the Plugin, and then try to edit an existing reservation from Web Central. If you encounter this issue, to adjust the time, you can use the slider to create a new time frame for any free period; you can then use the slider to adjust this new time to the desired time. (3040864)
- Time Zone. In the Cities table, the time zone field must be set to America/<region> instead of EST in order for the Plugin to calculate the Day Light Saving time. Also, If the time zone is set to EST, the Exchange listener will decline recurring reservations with an occurrence during daylight saving time, if the reservation is created via the Outlook Plugin. (3036587, 3042134
GIS Known Limitations
- Map Mouse Click Event disabled. (Firefox only). In map views with multiple tabs, if a user switches from the map tab to a different tab, then back to the map tab, the map will redraw zoomed-out and the markers will no longer respond to click events. (3035951)
-
Map. Unable to show details for buildings at the same location. If you have buildings with the same location (down to even street address, on the same site), the system has trouble distinguishing them. For example, multiple markers that are near one another become graphically indistinguishable, their labels overlap, they cannot all be clicked for information, and the tool tip indicates only one building. For situations with multiple buildings with same address, you can manually provide latitude and longitude values for each of the different buildings. This allows for very precise placement and may help to resolve this issue. ARCHIBUS, Inc. is working on a solution to this issue.(3035154)
- Cannot geocode an address. Websphere. If a user is running WebSphere and has trouble geocoding an address (such as using the Technologies\User Interface Add-ins\Geographic Information System (GIS) view\Map with Address Geocoder view), the signer might need to be added to the local trust store. You can use the "Retrieve from port" option in the administrative console to retrieve the certificate and resolve the problem. Follow these steps to do so:
1. Log into the administrative console.
2. Expand Security and click SSL certificate and key management. Under Configuration settings, click Manage endpoint security configurations.
3. Select the appropriate outbound configuration to get to the (cell):win2k8r2stdNode01Cell:(node):win2k8r2stdNode01 management scope.
4. Under Related Items, click Key stores and certificates and click the NodeDefaultTrustStore key store.
5. Under Additional Properties, click Signer certificates and Retrieve From Port.
6. In the Host field, enter www.arcgis.com in the host name field, enter 443 in the Port field, and null_cert in the Alias field.
7. Click Retrieve Signer Information.
8. Verify that the certificate information is for a certificate that you can trust. (3043225)
Enhanced Global Feature Set Known Limitations
- Financial Paginated Report. All REPM financial paginated reports--such as Rent Roll, Property Abstract, and Building Abstract--do not consider the user's choice in the VAT dialog regarding Total Cost, VAT Only, or Base Cost. The paginated reports only display Total Cost. (3033701)
Cost Administration Known Limitations
-
Cost Administrator. Straight-Line Rent. If a lease recurring base rent has a monthly payment date in the middle of the month, and if the same lease has a one-time scheduled base rent cost entered for the last half of the final month of the recurring cost, the Straight-Line Rent report’s BASE RENT total incorrectly shows as 0 for the final month. All other values in the Straight-Line Rent report will calculate properly. This occurs because the Straight-Line Rent report displays only 12 months, and, in this case, the additional one-time lease base rent cost occurs after the final payment date for the recurring cost record; the lease costs span into 13 months. (3039764)
-
Cost Wizard. Typically, a single lease will have all its costs in one currency. However, it is possible, as demonstrated by the costs for the lease L-MADROFF-05 in the HQ sample data, to have costs in different currencies for the same lease, building, or property. When viewing these costs from the Cost Wizard, you will see that the Currency (Payment) field shows that the costs are using different currencies. The Totals at the bottom of the screen do not have a currency symbol, indicating that there has been no conversion of these costs to a uniform currency and thus the totals do not represent a usable value if the line items have different currencies. (3039220)
- VAT Tax Override. In V.20.2, since the default value for VAT Override was 0, when you wanted to set the VAT override to zero, the application had no way to distinguish between the default value and an actual VAT override to zero. This resulted in the program charging back the full VAT Tax when there was an intentional entry of 0 for the VAT Tax override amount. In V.21.1, the default value for VAT Amount Override is changed to -1.0, and settings other than this value will override the VAT. Sites that wish to control on a per-record basis whether the chargeback occurs, and that are upgrading to v21.1 or later should: (3039540)
1. Run the SQL statements in projects\users\public\dt\abcostadministration-cost_tran_recur-vat_amount_override-chargeback.sql. This will:
change the default VAT Amount Override to -1
change all VAT Amount Overrides of 0 to a new value of -1
not charge back VAT Amount Overrides that have a value of -1
2. Review your Recurring Cost records. For any that you do wish to chargeback using no VAT amount, change the VAT Amount Override back to 0.
Real Estate Portfolio Management Limitations
- US Federal Property Registry If a user will be deploying this application with either an Oracle or MSSQL database then prior to using the application they will need to:
1) Use Data Transfer to import additional field definitions from \projects\public\users\dt\ into the grp and grp_trans tables. File to import should be: afm_flds-grp-and-grp_trans.csv.
2) Run the Schema Change Wizard to update the grp and grp_trans tables.(3042646)
Capital Budgeting Known Limitations
- Evaluate. Plan Scenario Costs. The Total row across the top of the Edit Project Scenarios table is not used, and the Total column in the Edit Scenarios table is not used. These cells will always be empty, as they would not display useful information. (3039801)
Project Management Known Limitations
- Metrics Library: The metric 'ops_FacilityConditionIndex_percent_monthly' is defined incorrectly. It should have used the formula stored in the activity parameter AbCapitalPlanningCA-FacilityConditionIndex, divided by 100. This ensures that the metric is always up to data and has the same formula used through-out the ARCHIBUS system.
To fix this issue, follow the steps:
1. Start the Web Central and navigate to: System Administration / ARCHIBUS System Administration / Add-In Manager / Define Metrics (ab-ex-metric-metrics-def.axvw)
2. Invoke Data Transfer
3. Select Transfer In and the Local File option. Choose afm_metric_definitions-ops_FacilityConditionIndex_percent_monthly.csv in the folder \projects\users\ai\dt\ from your Archibus installation. (3042563)
Commissioning Known Limitations
- Commission Equipment. The Documentation tab contains fields that cannot be opened with the SHOW DOCUMENTATION controls because their AFM Type=Graphics: These fields are: Spec. Sheet Graphic, Wiring Diagram Graphic, Equip. Assembly Graphic, Lubrication Points Graphic. Due to current field data dictionary definition, these fields will not allow SHOW DOCUMENT functionality in Web Central. (3037369)
Space Planning & Management Known Limitations
-
New Employees and Over-Capacity Rooms (Workspace Transactions). If a new employee is added to the Employees table and is in a room that would make the room over-capacity, that employee location does not get logged in history, and an error occurs in the ARCHIBUS log file. To ensure the employee location is logged in history, add the employee first, and then update the employee record with the location. (3042668)
- Space Console. Rooms have no area. If there are rooms in the database and none of them have a value in the rm.area field, the Space Console fails and presents an error message. To get around this error, you can enter a room area in the "Room Area Manual Entry ft²" field. An administrator will then need to run the Space Planning & Management / Space Inventory & Performance / Room Inventory / Update Room Area from Manual Area task.(3042411)
- Space Console. Moving employees.. When making employee assignments, if you move an employee to one room, and then decide to move the employee again to a different room, the first room will remain highlighted. The pending assignment is correct, but the room highlight for the first room will not re-set to indicate that no move is occurring in that room.(3041300)
- Space Console. VPA. If a user has VPA set for division/department, the user can still update an employee's location to be a room that does not belong to the division/department VPA. This can be done by:
1) Using the Space Console to drag and drop the employee to the new room.
2) Using Define Employee or Edit Employee to update the employee's building, floor, room (note that this can only be done by directly inputting the location, as the select-values list of rooms will obey VPA)
If the user does update the employee location to a new room that does not belong to the same division/department as is set by VPA, the location change will not create a workspace transaction, and therefore the employee's change will not be recorded in history.
- Chargeback calculation. If workspace transaction records contain an end date before the start date, they will be incorrectly accounted for in the chargeback calculation. (3033209)
-
Display units. Some views do not show units like area and currency in the user’s display units if they differ from the default display unites. (3041976, 3042034)
Move Management Known Limitations
- Plan Move Scenario on WebSphere. On the Process Navigator, choose Move Management / Enterprise Move Management / Move Scenario Planner / Develop Move Scenarios. Create a new scenario or choose a scenario to edit. When you move to the Plan Move Scenario tab, the program presents an error message. Subsequently, you can access this tab without a problem. (3027142)
- Action Questionnaires. If you add new Action Types (using the Move Management / Enterprise Move Management / Business Process Owner / Define Action Types task), you then cannot add questionnaires to these action types (using the Move Management / Enterprise Move Management / Business Process Owner / Define Action Questionnaires task). - Create Move Scenario tab on Internet Explorer. When switching between move scenarios and using Internet Explorer, you may encounter an error when selecting a second scenario in the Create Move Scenarios tab, after using the Plan Move Scenario tab to make re-assignments in the first scenario. To view the second scenario, re-load the move project from the Process Navigator. After re-loading the view, you can switch between move scenarios without error. If you make additional changes to a move scenario and you want to compare scenarios again, re-load the view again. Move scenario planning is available from the "Request a Group Move" and "Edit my Group Moves" tasks under Move Requestor, and from the "Review and Estimate Group Moves" and "Issue Group Moves" tasks under Move Coordinator. Auto-Created Work Orders. If a craftsperson submits a work request that gets assigned to an SLA that autocreates the work order, when the craftsperson logs in, the craftsperson sees the Update button for this request. This button should not be available since the craftsperson is the requestor for this work. This also occurs if the work request is On Hold or Completed. (3042436)
- Older SLA Interface and Quick-Start Database. If users delete sample data and make the Quick-Start database their project database, and then if they decide to advance to other uses of Building Operations, such as managing SLAs, they will need to navigate to the new, and not the old, SLA interface. Since the Quick-Start database currently points to the old SLA interface, users will need to run this script on the Quick-Start database: (3042712)
UPDATE afm_tasks SET task_file = 'ab-bldgops-sla.axvw' WHERE activity_id IN ('AbBldgOpsOnDemandWork', 'AbBldgOpsPM') AND task_id = 'Manage Service Level Agreements';

- Search & Manage. When users decide to opt in to the new Building Operations Console, they will also get a new view for Search & Manage that focuses on the Work Request. This new Search & Manage, however, does not display open steps and does not have a Forward button like its predecessor. Forwarding Work Requests to other Supervisors, however, is available on the Building Operations Console itself. (3042398) (3042557)
- SLA multiple priorities. When an SLA contains multiple priorities, and the user is using IE 8, the user gets an error when clicking on Edit Details for that SLA.3042399
- PM Schedules and Site VPA. If a user has a Site VPA, then that user is not able to modify schedule details in the Define PM Schedules task, because the site_id field is not filled for equipment PM schedules. (3038255)
- Site VPA. The Define PM Schedules task does not work as expected when using a site VPA restriction. (3034693)
- Untranslated Steps. The Step field values in views including Approve Service Requests and Accept/Decline Service Requests are not translated. (3036638)

Part Stock Values. In certain cases, the Quantity Available, Quantity on Reserve, and Quantity Understocked are not updated as parts are being used in work requests. This occurs when part quantities estimated exceed inventory values and should cause Quantity Available to be negative. (3042273)

- Project Type Code. The application employs a hard-coded string prefix or suffix for activity type (“HAZMAT –”) that is visible to users. This is not meant to be a translatable string, but a code such as appears in other places (e.g., “CB –”). This issue has no functional impact, but may raise questions or concerns for non-English users. (3034385)

Searching in MSDS Consoles. Entering a tic mark--that is, a string including a quote (aka "inverted comma") character--in a search field for the MSDS consoles results in an error. If a user encounters the error message and desires to filter by a string including a quote, a solution is to use a Smart Search (mini-console) to define the restriction (3042191)
- MSDS Locations List / MSDS Geographic Drill-Down. The tab titles in deeply-nested tabs do not appear localized/translated.(3034845, 3034464)

Define MSDS - Download MSDS Document: The application cannot automatically download MSDS documents via the “Download” action if the remote file names contain more than 64 characters. Work around: download the remote file and save to local disk, rename the file if needed, then use the standard document management interface in the web form to load the MSDS sheet into the ARCHIBUS Document Management system. -
Print MSDSs: Paginated report job dialogue window concludes with "Partial Results" message, even though the job has successfully completed. Once the job completes according to the progress bar indicator and the pdf file link in the dialogue becomes active, the job and document should be complete, despite the message. If so, disregard the message as a ‘false positive.’ (3039815)

Integration with Google Calendar. When you have configured the application for ‘no integration’ with Exchange, the .ics files that are generated to be imported into Outlook, Google Calendar, or any other calendar app sometimes do not correctly update the Google Calendar application. Specifically, there can be a problem with the file content related to the meeting identifiers created by the application. These meeting identifiers are not always unique. If you create a new calendar, instead of importing an existing one, the creation of meetings seems to work correctly for single and recurring reservations, but updates and cancellations don’t always work as expected. (3042383)
- Editing Multiple Reservations in a Series. When you edit recurring reservations in Web Central, each occurrence is updated on the Exchange server, but when you ope the series in Outlook, you will see that it shows the old information. Basically, only individual occurrences are updated and the series is left unchanged. For example, in Web Central you could change the reservation time from 10am-12pm to 9am-11am for all occurrences and add an attendee. If you open one of the changed occurrences in Outlook, you’ll see the 9am-11am time and the added attendee, but if you open the entire series you’ll still see 10am-12pm, and not see the added attendee. Error when canceling reservation using Exchange 2013. ARCHIBUS does not support Exchange 2013 for this release, but we have tested some functionality with it. When using Exchange 2013, if you create a reservation from Web Central with Exchange integration and the listener is enabled, and then cancel the meeting from Outlook Web Access, the listener sends the meeting cancellation email. However, an error is printed in archibus.log when the Exchange Listener processes the cancellation. Even though you receive the message confirming the cancellation, the reservation is not canceled, because the error causes the change in the database to be rolled back. (3042136)
- Exchange Configuration. Listener not enabled. When Reservations is configured for Exchange integration but the listener is not enabled, the following can occur:
(a) If a recurring reservation is removed from Exchange, but not from Web Central, when editing one or all occurrences of this recurring reservation in Web Central, the corresponding meetings are not generated or updated in Exchange.
(b) If one occurrence of a recurring meeting's date or time was changed in Exchange when the listener was not enabled, and thus the changes were not applied in Web Central, if you then try to edit the occurrence in Web Central, the meeting is not found and can't be updated in Exchange.
These issues occur only for recurring reservation when the listener is not enabled. For single reservation, whether or not the listener is enabled, and for recurring reservations when the listener is enabled, these issues do not occur. A workaround is to change the meeting in Web Central to match the exact date and time in Exchange, save this change, and then make the edits in Web Central. Now the changes are also applied in Exchange. Alternately, you can first change the meeting in Exchange to match the exact date and time in Web Central, and then make the desired edits for the meeting in Web Central. (3040346)

Exchange Configuration. Recurring Reservations. When the application is configured for Exchange integration, the following can occur: If a recurring reservation is removed from Exchange, but not from Web Central, when editing a single occurrence or all occurrences of this recurring reservation in Web Central, the corresponding meetings are not generated or updated in Exchange. (3040346)
- Creating New Reservations. When creating a reservation in the Create New Room Reservation task, if you add attendees who are busy during the selected time, they are shown on the timeline with a blue bar. Since these attendees are added to the meeting despite their busy status, the bar should be shown in green to indicate that they are part of the reservation being created. (3040720) Also, the Create Room Reservation view stops working if you enter an invalid Building Code in the Filter. This is because the invalid Building Code causes the work flow rules used to create the reservation to fail. If this occurs, you must reload the view to continue working. (3042126)
- Confirm. In the Confirm Reservation screen, the Requestor’s Email (reserve.email field) is used by the Outlook Plugin and for Exchange integration. The non-integration sending of emails retrieves the email address from the Employees table. For this reason, reserve.email should be equal to the requested_by employee email. If you change the default email presented in the form, by entering a different email than the employee’s email, the Plugin and Exchange use the new value, but the .ics invitations continue to use the em.email value. For reservations created via the Plugin, the Plugin fills in the user_requested_by, user_created_by, and user_requested_for based on the reserve.email field.(3015233)
