Tracking Craftsperson Hours and Costs

In addition to tracking your work, you might want to also track craftsperson hours and actual costs for labor. You do this by scheduling specific craftsperson, entering the estimated hours for the job, and then updating the work with the actual hours after the work is completed.

When you enter a craftsperson into the application, you can store the craftsperson's hourly rate which the application uses to calculate the actual cost of the work based on the hours the craftsperson took to complete the work.

The following reports are available when you track craftspersons and costs

Report Description Notes
Craftsperson Availability
  • Lists the hours the craftsperson is assigned work (Hours Committed) and the hours they have available (Hours Available). This is shown for each day. This report facilitates efficient scheduling by enabling you to see which craftsperson are the most available.
  • For this report you must assign a specific craftsperson, and enter the estimate for the number of hours that the work will take.
    Cost Analysis Dashboard includes the following reports:

    Costs by Area

    Bar chart showing the average cost by area. You can click on a bar to see details for the work requests contributing to that total. Costs are summarized from the actual hours entered for the craftsperson when work is completed, and from parts, if you have developed a parts inventory.

    Cost by Area and Time

    Line chart showing the average cost of the area for the selected year. This report shows the trend for your maintenance costs If you have more than one building, you can compare them using this report.

    Total Cost by Problem Type

    Pie chart showing the distribution of completed work by problem type. You must be updating work with the actual hours the work took, and any other costs incurred. If you want the total to include the costs of parts, you must include the Estimate step. See Estimating Trades and Parts.

    To have these reports include the breakdown by different Problem Types, you must enter the Problem Type when submitting the work request.

    Line chart showing the costs of completed work by problem type. This enables you to see the trend for the costs. You can also see this report as a table to review the costs for each month.
