Change a Room's Division or Department Assignment

As business changes and departments expand, contract, and merge with other departments, facility managers need to re-assign space to departments. For example, a new business initiative might require more space for a particular department or a corporate reorganization might require that a department reduce its size and give up space.

The facility manager can make these types of changes and immediately see the new departmental allocation on the floor plan. Working from the floor plan enables you to see how space is allocated throughout the floor so that you know how your changes integrate with the entire floor configuration. For example, if you have a choice of assigning one of three vacant offices to a department, visually seeing the location of these offices can be an important factor in deciding which one to assign.

Procedure

1. Load the Space Console and set it to Space mode.
2. Load the floor plans containing the rooms for which you want to change departmental assignment.
3. Highlight the floor plans by department or division so that you can see the current assignments.
4. In the bottom portion of the Space Console, move to the Organizations tab.
5. In the Organizations tab, locate the division or department you wish to assign to rooms. If you are assigning a department, click on a division to expand it to show its component departments.
6. For the division or department to which you wish to assign rooms, click its Assign button.
7. In the floor plan, click on all the rooms that you want to assign to this division or department. The system outlines these rooms in gray. You can choose rooms that are unassigned or already have an organizational assignment. For example, in the below image, three rooms in the upper left corner of the floor plan are selected (outlined in gray) and are set to be assigned to the PACIFIC-COAST department.
   
8. Confirm the rooms that you have selected to change. In the drawing, these rooms are outlined in gray.
   • If you are satisfied with the selection and do not need to review it, choose the Commit button, located above the floor plan.
   If you would like to review the rooms whose divisions or departments will be changed, select the View Pending Assignments button, located above the floor plan. ARCHIBUS presents a form listing the current division or department and the division or department to which you will assign these rooms.
   • To remove a room from the list, select it and choose the Cancel Assignments button. ARCHIBUS removes this item from the list.
   • When satisfied with the list of rooms to assign to this division or department, choose Commit Assignments from the form.
     
     
9. ARCHIBUS updates the affected rooms to display the highlight color of the new division or department . In the Space Console's tabs, ARCHIBUS updates the room count and room area information for this division or department.
