Setting Options for Paginated Reports with Drawings

From the View Definition Wizard, you can create two kinds of paginated reports that include drawings:

• A paginated report that includes a highlighted drawing. A highlighted drawing shows the drawing highlighted by the restriction you set. It shows a single value, for example, a report that includes a drawing highlighting those rooms that are executive offices.Click to view a highlighted drawing.
• A paginated report that thematically highlights a drawing. A thematically highlighted drawing color-codes multiple value, for example, a drawing that shows rooms color coded by their department or by their Standard assignment. Click to view a thematically highlighted drawing.

To set options for paginated reports with drawings:

Start the View Definition Wizard from this location on the Process Navigator:

• System Administration/Add-In Manager/Run View Definition Wizard.

Step 1. Select Type

On the Step 1. Select Type screen, choose:

A Paginated Report, and click Continue to Select Pattern on the panel title bar.

Step 2: Select Pattern

1. On the Select Pattern screen, choose the type of paginated report:

   • A paginated report with highlighted drawings

   • A paginated report with thematically highlighted drawings
2. Click Continue to Select Data.

Step 3:Select Data

On the Select Data screen, choose a table, such as Rooms (rm) Suites (su), or Groups (gp), that controls the drawing highlighting, drawing labels, and legend data of the report.

Note: When you create a paginated report that includes a drawing, the Select Data tab shows only tables that have a drawing (that is, they contain a dwgname field). You do not need to select the dwgname field as one of the report fields, but you select fields from the table that contains the drawing.

Note: Step 4 differs depending on whether you are creating a drawing highlighted by a restriction (for example, a drawing highlighting rooms assigned to the Marketing Department), or a thematically highlighted drawing that color codes drawings showing all values (for example, a drawing highlighted by different departments). Follow either Step 4: Set Characteristics for Highlighted Drawings, or Step 4: Set Characteristics for Thematically Highlighted Drawings, depending on which pattern you selected.in Step 2.

Step 4: Set Characteristics for Highlighted Drawings

When you select the table, the Step 4- View Summary tab appears.

There are three types of data that you can select: Drawing Highlight Data, Drawing Label Data, and Drawing Legend Data. Use the following guidelines when making your selections:

• You must select Drawing Highlight, and Drawing Legend Data.
• Drawing Label Data is optional. Drawing Label Data is the asset text fields that you want to appear as labels on the drawing. If you do not want any labels to appear, do not select any fields. By default, no fields are selected.
• For highlighted drawings, for highlighting and legend data, you must select fields, set the sort order, and set a restriction. In this case the restriction is the data you are highlighting by.
• You can keep the default selection for the "Use same selections in legend data (fields, sorts, standards, restrictions) as highlight data" check box. When you keep this default selection, you do not need to make selections for the Drawing Legend Data.

Example of a Paginated Report that Includes a Highlighted Drawing

For example, to create a paginated report with a drawing that highlights executive rooms, you would select the Rooms (rm) table in Step 3, and then select the following:

In the Drawing Highlight Data row:

1. Click Select Fields. Note that the fields that contribute to a room's primary key (Building Code, Floor Code, and Room Code fields - bl_id, fl_id, rm_id) are automatically selected, since you selected the Rooms table,
2. Select the field you want to restrict by. In this case, that is Room Type (rm_type).
3. Click Save and Return to Summary.
4. Click Set Restriction, set the restriction to be Room Type (rm_type field) equal to EXEC-SR (or whatever your executive room type is), and click Add. For a highlighted drawing, the restriction is the data you want to highlight by; in this case, the Executive Room Type.
5. Click Save and Return to Summary.
6. Click Set Sort Order. Note that the fields that contribute to a room's primary key are selected by default.
7. Click Save and Return to Summary.

With the "Use same selections in legend data (fields, sorts, standards, restrictions) as highlight data" check box selected, the following data is automatically selected on the Drawing Legend Data row: 

• The Field list defaults to the sort order or fields for the Drawing Highlight data (for example, Building, Floor, and Room Code.)
• The Sort Order defaults to the sort order of the Drawing Highlight data (for example, Building, Floor, and Room Code).
• The restriction defaults to the restriction set for the Drawing Highlight data (for example, to list only the rooms that satisfy the highlight restriction, such as only rooms with the executive Room Type).
• From the Set Options button, the "Summarize the data in this group band by its sort order?"is set to No, as the aim is to list only the elements that satisfy the restriction.

Step 4: Set Characteristics for Thematically Highlighted Drawings

When you select the table, the Step 4- View Summary tab appears.

You can make selections for Drawing Highlight Data, Drawing Label data, and Drawing Legend data:

• You must select standards fields, and set the sort order for highlighting and legend data,.
• When you add fields for a Standard table, the fields are added to the view, so that when you click Select Fields the fields are already selected. For this reason, selecting Standards fields first can be the simplest way to select fields.
• You can keep the default selection for the "Use same selections in legend data (fields, sorts, standards, restrictions) as highlight data" check box. When you keep this default selection, you do not need to make selections for the drawing legends data.

Example of a Paginated Report with a thematically highlighted drawing:

For example, to create a paginated report with a drawing that highlights Rooms by Room Standards, you would select the Rooms table in Step 3 and then select the following:

In the Drawing Highlight Data row:

1. Click Add Standard. This is the table that will supply additional information.
2. Click Show Only Highlights and Primary Keys, and from the rmstd table, select:
   • rm_std field
   • hpattern_acad field. Selecting this field sets the hpattern_acad field to use a predefined set of key colors and hatches (rather than an automatically defined one).
3. Click Save and Return to Summary.

   Note: When you select fields for a Standard table, the Select Fields is now optional. You can select more fields if needed.

4. Click Set Sort Order, and set the Room Standard field (rm_std) to be the sort order. For a thematically highlighted drawing, the sort order is the data you want to highlight by.
5. Click Save and Return to Summary.

With the "Use same selections in legend data (fields, sorts, standards, restrictions) as highlight data" check box selected, the following data is automatically selected on the Drawing Legend Data row:

• The Field list defaults to the sort order or fields for the Drawing Highlight data (in this case, the Room Standard (rm_std field), and the Highlight legend color key field (hpattern_acad field).
• The Sort Order defaults to the sort order of the Drawing Highlight data (in this case, Room Standard).
• From the Set Options button, the "Summarize the data in this group band by its sort order?"is set to Yes. This groups the legend elements by the sort order (for example, Room Standard).

Optionally, you can select:

• Drawing Label Data: Select the asset text fields that you want to appear as labels on the drawing. If you do not want any labels to appear, do not select any fields. By default, no fields are selected.

Test your display, save the view, and add to the Process Navigator as described in Defining New Views.
