Operational Reports: Overview

Operational reports enable you to access comprehensive information about your regulations, compliance programs, requirements, events, documents, communications logs, and notification templates. The process includes reports that identify compliance items on a floor plan drawing, and provide a map report that enables you to assess your compliance status world-wide.

All reports in the Operational Reports process present both compliance program-related and contract-related data except the following, which present only program-related data:

Report Description Benefits

Compliance Drill-Down

Select a regulation, compliance program, contract, contract term, or requirement from a drill-down selection list, and then click the Locations, Events, Documents, and Communications Logs tab to see these items added for the selected regulation, program, or requirement.

View comprehensive information from one view using a drill-down selection list.

Regulations and Initiatives

Select a regulation or initiative, and then review the compliance programs, requirements, contracts, contract terms, location, events, documents, communications logs, and violations for the selected regulation. Provides comprehensive and easily accessed information entered for a regulation or initiative.

Compliance Programs

Select a program or contract, and then review its requirements, contract terms, events, notification templates, locations, documents, communications logs, and violations for the selected program. Provides comprehensive and easily accessed information entered for a compliance program or contract.

Compliance Requirements

Select a requirement or contract term, and then review the events, work history, notification templates, locations, documents, communications logs, and violations for the selected item.

Review all past, current, and future PM schedules, PM procedures, service requests, work requests, and work orders for the requirement's current events.

Provides comprehensive and easily accessed information entered for a requirement or contract term.

Access the current status for any work associated with this requirement or contract trem, including archived work.

View details for PM procedures and schedules so you know the plan for what work will be done and when.

Permits and Licenses Display a list of permits and licenses that match filter criteria, with drill-down to events, notifications, locations, documents, communications logs, and violations View requirements and contract terms that have the Requirement Type Permit or License color-coded by their expiration dates.
Compliance Program Costs

This report presents panels showing the cost records for the programs, requirements, and locations. The report shows two of the cost values:

  • Cost Commitment (Budget)
  • Cost per Unit Commitment (Budget), if the unit count is not null.

The report also includes a panel for Violation Costs, which are stored in Violations (regviolation) table.

View costs for your compliance programs in one report.

Compliance by Location

Select locations from the drill-down list to see the regulations, compliance programs, requirements, contracts, contract terms, events, documents, communications logs, and violations for the selected locations. You can select a single or multiple locations. The information is presented on tabs and you can export each tab to a Word Doc (by clicking DOCX) or to Excel (by clicking XLS). The report includes a Filter console that enables you to restrict the locations using multiple criteria. See Using the Filter Console for Locations.

Enables you to track your compliance efforts by location.

Provides comprehensive information by location, such as the Compliance Level, the scheduled and actual dates for events, and the cost of any violations incurred.

Assess compliance issues at the specific locations where these issues are occurring.

Compliance by Location Drill-Down

Select location tabs (from Country to Room) to get a summary of the count of regulations, programs, contracts, contract terms, requirements, events, documents and violations for that location.

You can drill-down by selecting the Total column; the view switches to show the next tab, showing the records contributing to the total.

Each location tab has a DOC button (to export to a Word document), and XLS button (to export to Excel). These buttons export the data shown in the grid.

Each tab shows data using the restriction you set in the Filter console.

Having summary information for your compliance regulations, programs, contracts, contract terms, or events by location enables you to evaluate the distribution of your compliance efforts across your locations.
Assets without Compliance Locations Choose one or more asset types (equipment, properties, buildings, floors, rooms, sites, employees) and regulatory criteria to which they are subject. The view presents an exception report that identifies any asset records not currently within the scope of a defined compliance location.  
Missed and Overdue Events

View missed and overdue events highlighted in red (Missed events), or orange (Overdue events.)

Review all past, current, and future PM schedules, service requests, work requests, and work orders.

Quickly view missed and overdue events, the events that put you at the greatest risk for noncompliance.

Access the current status for on demand and preventive maintenance work linked to overdue events.

Compliance Events Calendar View events on a monthly, weekly, or yearly calendar, highlighted by event status, requirement priority, or requirement type. Easy real-time scheduling, monitoring, and reporting of compliance activities.
Compliance Event Finder

Using a drill-down selection list of regulations, programs, contracts, contract terms, and requirements, and a Filter console, you can locate any event to view its details.

Review all past, current, and future PM schedules, service requests, work requests, and work orders.

Find an event regardless of age or status. Overdue and missed events are highlighted in red.

Access the current status for on demand and preventive maintenance work linked to overdue events.

Compliance Event Notifications Select a notification associated with an event, and review details for the notification, the event, and the notification template.

Review all events that have a notification associated with them in a central location, and review details for a selected notification and event.

For example, you can review the Date Sent for a notification, the Dates Completed for an event, and the triggering conditions for the notification template.

Preview Compliance Questionnaire This report enables users in the company who do not have access to Define Questionnaires task or the survey tasks that implement questionnaires to access a questionnaire for review or comment. The user can work through the questionnaire to gain an understanding of it, but cannot submit any responses. This report is handy for obtaining feedback on a questionnaire from others in the company.
Document Library

Locate and view documents in the Document Library. You can view the documents as long as you are assigned to the security group in the Document Review Group field for the document.

Compliance Communications Log Select a regulation, compliance program, contract, contract term, or requirement from a drill-down list to see the communications logs entered for it. Find and review communications logs entered for compliance items.
Compliance Violations

View Violations for programs, requirements, locations. Use a drill-down selection list to select a regulation, compliance program, or requirement to see its violations.

Additionally, use a Filter console to restrict the violations shown. Export the list of violations to a Word Doc (by clicking DOC), or to Excel (by clicking XLS.)

The report does not include contract-related violations; see the Contract Manager process for a similar report for contract violations.

Enter filter criteria to locate any violation or group of violations matching the criteria you enter.
Compliance Notification Templates

View all notification templates and the contracts, contract terms, requirements, programs, and regulations they are assigned to.

Review details for all notification templates and their assignments from one view.

Buildings / Rooms with Compliance Programs

Locate and identify compliance areas or items on a floor plan drawing. Check for regulatory compliance in the areas you are responsible for.
Compliance Programs Map

The report provides a map view with both a drill-down list and Filter console to enable you to restrict the view to the locations you want to review.

The map includes marker symbols over locations containing compliance programs and contracts. These markers are color-coded to show areas by critical factors, such as compliance levels, enabling you to quickly evaluate compliance by location and to assess areas of concern.
