Contacts Reports

The Portfolio Management application includes reports that group the contacts you have associated with your portfolio items by buildings, structures, land (Contacts by Buildings/Structures/Land reports), or the contacts you have associated with your leases (Contacts by Lease by Building/Structure/Land reports). You associate contacts with portfolio items or leases using the Contacts tab of the Add/Edit task. If you add a contact when you are adding or editing a lease, that contact is associated with the lease. If you add a contact when you are adding or editing a building, structure, or land, that contact is associated with the building, structure, or land.

You generate these reports from the Portfolio Management's Process Navigator for either buildings, structure or land, depending on whether you are working in the Building, Structure, or Land process. You select a building, structure, or land to see the contacts for that portfolio item. You can then print the report for a single portfolio item, email it, or add it to your Favorites.

The following describes the Contacts reports.

Contacts by Building, Structures or Land Report

Use the Contacts by Building/Structure/Land reports to see a comprehensive list of contacts associated with each of these portfolio items. The Contacts by Building, Structures or Land reports provide information about each portfolio item with a list of contacts by type, such as fire and safety contact, associated with the portfolio item.

Managing parcels

When managing parcels, you can: store ‘TAX AUTHORITY’ or ‘TAX COLLECTOR’ contacts needed to track tax payment for your parcels. You add these contacts when adding information for the land using the Add / Edit Wizard. See Entering Contacts.

You can filter the Contacts reports by county or city to facilitate searching for ‘TAX AUTHORITY’ or ‘TAX COLLECTOR’ contacts by locations.
The Contacts report shows the Tax Authority Type as part of the contact information, so you know the type of taxes the contact is for.

Accessing the Contacts reports

You can access the Contacts by Building/Structures/Land reports from the Building, Structures or Land Process Navigators (Contacts by Buildings/Structures/Land task), or from the Reports button in the Manage Buildings/Structures/Land by Location view. Contacts by Leases by Building/Structure/Land Report

To see a comprehensive list of contacts associated with leases, generate the Contacts by Lease by Building/Structure/Land reports. These reports provide details for the leases associated with the buildings, structures or land , and present a list of all the contacts by type, such as the facility management contact, associated with these leases.

The report includes contacts for all leases; that is for both active leases and for leases that have expired.

Accessing the Contacts by Leases reports

You can access the Contacts by Leases by Buildings/Structures/Land reports from the Building, Structures or Land Process Navigators (Contacts by Leases by Buildings/Structures/Land task), or from the Reports button in the Manage Buildings/Structures/Land by Location view.
