Define Contacts

Many Archibus applications use the Contacts table, so you may find that it already contains data. Use this table to store information about the parties with whom personnel at your site interact, such as regulatory agencies, landlords, tenants, contractors, and tax collectors.

Note that parties from whom you purchase supplies are stored in a separate table, the Vendors table.

The names of the fields indicate the type of information that they store. However, you should note the following fields:

Field Description
City
County
State
Region
Country

These fields are validated by the tables of the geographic hierarchy. Before you can choose values for these fields, someone at your site must first enter values for the geographic locations.

Company

Choose an existing company or agency from the list to complete this field with the company for which the contact person works. If the list does not show the company that you require, you must enter this company into the Companies table.

Contact Photo

Use this document field to associate an image of the contact person with the record.

Contact Type For the contact that you are entering, choose a classification from the drop-down list. If none of the values apply, choose N/A. If you find that you frequently need a particular category, you can ask the appropriate person at your site to add a new category to the list.
