Workspace Transactions Console

As a space manager, you can use the Workspace Transactions Console to run all of your tasks from one convenient place. The Workspace Transactions Console offers some features which are unique to it, as well as features which can be run from other Space Manager tasks.

You can use the Workspace Transactions Console to:

• highlight various properties of rooms in a floor plan, including two different properties at once (such as department and category)
• view space profiles in the future based on pending requests
• view space profiles for previous dates
• claim and release space as necessary to optimize overall space use
• assign room attributes
• view pending space requests and edit as necessary
• share rooms

Use this view when you want to focus on one floor at a time and see all the details of the rooms located on it.

Note: The Non-Transactional method also offers a console. The non-transactional method offers the Space Console, whereas the transactional method offers the Workspace Transaction Console.

Getting Started with the Workspace Transactions Console

When you load the Workspace Transaction Console task, you must first access the proper floor plan and information.

1. Choose one of the following:

• Space Planning & Management / Space Inventory & Performance / Space Manager / Workspace Transaction Console
• Space Planning & Management / Personnel & Occupancy / Space Manager / Workspace Transaction Console

2. The system presents a filter console, and a drill-down tree for selecting the floor plan.

• The filter applies both to the drill-down frames for selecting the floor plan and to the data present in other frames.
• For example, if you want the drill-down frame for selecting the floor plan to present only floors in the HQ building, set the Building Code to HQ in the filter console.
• As you work with the console, you can change the restrictions in the filter and the data will update according to the values you set in the filter. For example, if you want your data to reflect pending requests, choose the Pending Requests Only option.
• If you want to see how space will look in the future, choose Pending Requests Only? in the filter. You will see all attribute changes that result from those pending requests.

3. Adjust the working area to focus on the tasks at hand. There are two ways to do this:

• Click the Maximize button at the top of the drawing pane. This hides the filter and the drill down pane for selecting the floor plan drawing. It also zooms the drawing and pans it. Once the drawing is maximized, you can return to the default window arrangement by choosing the corresponding Minimize button.
  
• Adjust the panels yourself by using the small triangular resize buttons to hide and resize the Select Floor pane and the filter console. If you wish, zoom into the floor plan drawing and position it using the icons in the drawing window.

4. You may wish to pan the drawing, zoom into areas, and so on. Do so by using the tools in the drawing window.

With the floor plan drawing open, you can now perform the following tasks. You may wish to start off by highlighting rooms by various attributes and examining the summary data. When you spot problems or issues, you can then access additional information and make edits to resolve the problem, all right from the Workspace Transaction Console. For example, if you highlight by occupancy and notice that one room is over occupied and another is under occupied, you can correct this situation and move an employee from the over-occupied room to the under-occupied room by using the task's Edit Room Attributes button.

From the Workspace Transaction Console, you can:

• Highlight RoomsTo graphically see your departmental assignments, occupancy, pending space requests, and so forth, you can highlight rooms according to these characteristics. You can highlight by one or two different properties, display labeling text, and then see the summary information for each value. See Highlight Rooms by One or Two Properties
• Share Rooms -- Right-click on a room in the floor plan to access the Share Room command. For information on using this command, see Sharing Rooms.
• Edit basic information about the room -- Right-click on the room and the system present a form with basic information about the room, such as departmental assignment, room category, and room standard. You can edit any of these values. See Using a Room Form to Edit Room Properties.
• Assign room attributes and occupancy -- The Edit Room Attributes button in the right corner of the console launches the Assign Room Attributes and Occupancy form. For information, see Assigning Room Attributes Using Room Plans and Review Occupancy and Assign Employees to Rooms.
• Edit a space request -- If you do not agree with a pending move request, you can edit the request. See Edit Space Service Requests.
