Locate Employee

If you need to visit an employee's office, it is helpful to know the location of the office on the floor. Similarly, you may wish to graphically see the size of the employee's office. With the Locate Employee report, you can see an employee's location on a floor plan. Choose multiple employees, and the view highlights multiple rooms and, if necessary, loads multiple floor plans.

Search for one or multiple employees in the employee list

To scroll through a list of employees and select those for whom you want to see floor plans, you work with the panel on the left-hand side. Using the employees pane is useful when you want to scan the list of employees, search for employees, or select multiple employees.

First, you display a list of all employees in the Employees panel on the left by clicking Show in the top filter. You can now refine this list. For example, you can enter a specific building by completing the Building Code field at the top of the panel. In the above image, the user has completed the Building Code field to limit the list to only those employees in building SRL. Or, or enter a specific floor within a building by completing both Building Code and Floor Code. You can also limit the list by Employee Code values by typing consecutive letters of the employee's name in the list.   1. Select Foundations / Space and Moves / Locate Employee.
  2. In the Filter panel at the top of the view, do not enter a value. Click Show to have the Employees panel on the left display all employees.
  3. In the Employees panel, locate one or more employees for whom you want to see their location on the floor plan. You can filter the list of employees using the filter at the top of the Employees panel.
  4. Click the check box for one or multiple employees.
  5. The system loads the floor plans holding these employees' rooms and highlights the rooms on the floor plans. For example, in the above image, the user has selected two employees located on different floors, so the view has loaded and highlighted two floor plan drawings. Use the buttons on the left side of the floor plan pane to zoom or pan the drawing. For information, see Work with Floor Plans.
  6. In the bottom panel, the system displays basic information about these employees.
  7. If the employee is not assigned to a room, the system alerts you.
  8. If the employee is assigned to a room that is not represented in a floor plan drawing, the system displays the room information in the bottom frame but does not display a floor plan.

Enter the employee in the filter

If you don't need to scan a list of employees to know the employee you want to examine -- for example, you know the name of the employee to examine -- you can enter the name in the filter in the top panel. As you type letters, the list will adjust to show employees that have these consecutive letters in their name. You can then select the employee and click Show.

  1. Select Foundations / Space and Moves / Locate Employee.
  2. In the Filter panel at the top of the view, enter consecutive letters in the employee name.
  3. When the drop-down list displays the employee you desire, click the name, and it will display in the box.
  4. When the box displays your desired employee, click Show.
  5. The system loads the floor plans holding this employee's room and highlights the room on the floor plans. Use the buttons on the left side of the floor plan pane to zoom or pan the drawing. For information, see Work with Floor Plans.
  6. The Employees panel on the left is restricted to this employee.
  7. In the bottom panel, the system displays basic information about the selected employee.
  8. If the employee is not assigned to a room, the system alerts you.
  9. If the employee is assigned to a room that is not represented in a floor plan drawing, the system displays the room information in the bottom frame but does not display a floor plan.

Export the highlighted floor plan to Microsoft Word

You may want to share the employee location with others who do not work with Archibus. To do so, you can export the content in the right panels to Word and then share with others.

  1. Click the Paginated Report button in the upper right corner.
  2. The system generates a Microsoft Word document and presents a clickable link so you can load the Word document.
