Defining Action Types

Each action item is defined in terms of an action type. There are default action types for the user to choose from. You can also create additional action types if you want the user to have additional options when they are creating action items.

You can locate and report on actions by action type. You can also associate documents with an action type, so that the document is accessible for every action having this type.

Strategic Financial Analysis. If you are using the Strategic Financial Analysis application, you can associate action types with a cost category. The application then uses this cost category to create scheduled cost records when you run the Aggregate Operating Expenses action.

To define an action type:

  1. Select the Set Up / Define Action Types task.
    The Define Action Type form appears. All of the currently defined action types are displayed in the left panel.
  2. Click Add New in the Action Types panel.
  3. Enter the following required field:

    Action Type: Enter a unique identifier for the action. The system inserts the prefix "Project-" followed by your entry. Once you save the Action Type, it cannot be changed.

    Cost Category (used for SFA). Select the cost category to which you want to associate this action type. The Strategic Financial Analysis application then uses this cost category to create scheduled cost records when you run the Aggregate Operating Expenses action. This enables the application to aggregate costs from project action items, and to present this data in the Financial Analysis Console.

  4. Enter the following optional fields as needed:

    Action Type Problem Type: The problem type classifies the action being taken. The value is validated by the Problem Types table. Problem types are defined using the Maintenance / Corrective Maintenance / Background Data /

    Define Problems Types task.

    Auto-Create Work Request?: Set this to Yes to have a work request created for actions having this action type.

    Action Type Standard Cost: Enter the standard cost associated with taking this action.

    Action Type Description: Enter a description of this action type.

    Action Type Instructions: If the response to a question creates an action, the system inserts the text you enter here into the description of the Action Item record it creates. See Adding and Editing Questionnaires and Questions.

  5. Click Save to save the new action type you have defined.
