Equipment Table: Field Reference

This topic documents all the Equipment table fields. A few of these fields are used by the Archibus Client / Server applications and are not used in the Web Central applications. When a field is not currently used, this is noted in the Purpose column.

Alarm Operating Limit -- High

Use this field to record the high end of operating condition limits which should not be exceeded under any conditions.

Asset ID asset_id Used by the Commissioning application for tracking asset tag information. The asset tag information is a generic identifier for a piece of equipment that is stored as the Asset ID. For example, there could be multiple AHU assets tagged as AHU-003, but each would have a unique Equipment ID (eq.eq_id) . None
Asset Survey Comments survey_comments Enter comments for the equipment while performing a survey, None
Asset Survey Redline survey_redline_eq When a field assessor is performing a survey, the surveyor can use the Redline button to access the floor plan with the redline tools. The system saves the floor plan with redlines as a PNG file and stores this in the Asset Survey Redline field for the item. Document

Complete this field with the average use per day so that the program's scheduling routine can determine upcoming preventive maintenance according to meter-based scheduling.

Use this field to indicate a classification for this piece of equipment. This classification is used in the Condition Assessment application to organize and categorize your data.

Defines elements that are clients or servers. If an item is neither, complete with N/A.

Cost Depreciation Closing Month date_dep_closing_month

When the depreciation calculation is run, the system completes this field to represent the report log closing date. It lets you know when the Depreciated Value was updated on equipment. The user sets the Closing Month date (dep_reports.last_date)with the Define Depreciation Logs task.

Use this field to document the cost of replacing this item. The Assets and Maintenance domains use this in its Equipment Replacement Analysis report.

Criticality

Use this numeric field to document the importance of the equipment item. For example, you may want to provide a high rating for production equipment that has an expensive down-time cost. You determine the scale you want to use, working with whole numbers from 1 to 9. The application uses the criticality number on the Mission Support Analysis section of the Asset Lifecycle's Optimization tab.

The date the equipment was made. The Maintenance domain compares this value to the system date to determine an equipment item's age.

Department Code

dp_id

The organizational unit using the equipment. Validated by the Departments (dp) table. None

Depreciated Value 

cost_dep_value

The value of the equipment after depreciation is calculated via the Asset Lifecycle console's Recalculate Equipment Depreciation task, or the Assets domain's Depreciation applications. See Depreciation Calculations.

When equipment depreciation costs are calculated, a new record is inserted into the Equipment Depreciation table (eq_dep.eq_dep.value_current).

This value is shown on the asset registry custom datasource.

Note: If you import data into this field or manually enter this value, if the Property Type (eq.property_type) field is empty, then this value will not be overwritten with the calculated depreciation value.

Depreciation Years

The number of years over which the equipment is depreciated.

You can manually enter this value, or the application can enter it if you are using the Assets domain's Depreciation features.

Emergency Operating Procedures

Use this field to add an emergency procedures document for the equipment.

For equipment used by particular employees, such as a PC, enter the name of the employee using the equipment. For production and other equipment that cannot be directly tied to an employee, leave this field blank.

Entity Handle / Unique ID ehandle If you represent the equipment item in a drawing, the system completes this field with information about the equipment asset symbol. When querying the drawing, the Archibus Smart Client Extension for AutoCAD uses the values in the Entity Handle field to quickly find the asset symbol. Ehandle

Equip Condition

This field describe the current condition of the equipment: New; Excellent; Good; Fair; Poor; or Bad .These values are stored in an enumerated list.

The condition of an asset is a key factor in optimization analysis.

The type of equipment according to defined standards. Validated by the Equipment Standards table.

This list field provides several values for documenting how an equipment item's current status --is it in storage, being repaired, salvaged, or in use. Disposed; Donated; or Stolen? See Status Definitions for Assets for a description of all statuses.

The status field is used to help identify assets that need to be evaluated for disposal, refurbishment, repurposing, or storing.

GIS Object ID gis_objectid When using advanced map features, if you are maintaining asset geometry outside the Archibus environment (rather than with the Smart Client Extensions), you export this field from ArcGIS Map Services, so that it can be imported into Archibus. None

Hardware Address

The actual address of the equipment item, usually assigned by the manufacturer.

Hierarchy Level 

tc_level

Defines the telecom hierarchy level for the equipment item. Hierarchy levels are usually defined for devices by specifying a level for an equipment standard and then assigning a standard to an equipment item. Use this field when you want to overwrite the assigned standard’s hierarchy level.

Date the equipment was placed in-service, as opposed to the date when the equipment was installed. Entering the In-Service Date for an equipment asset is important as the application uses this date to dynamically calculate the Equipment Age (yrs). None

The date the equipment is installed, and the date at which depreciation starts.

Insurance Policy Code

Use this field to enter the insurance policy covering this equipment item. This field is validated against the Insurance Policies (policy) table. You develop the validating background data for insurance policies using the Asset Portal's Define and Edit Insurance Policies task. You enter this data using the Asset Portal's View Equipment by Insurance Policy task.

Is Multiplexing? 

is_multiplexing

Specifies whether the item is multiplexing and, like telecom hierarchy levels above, overwrites the assigned equipment standard’s multiplexing status. The values are "Yes" and "Use Std" (Use Standard).

When this field is set to "Use Sd", the system consults the equipment item's standard to see if the standard is multiplexing. The equipment item inherits its multiplexing status from its standard.

Last Survey Update From

When the supervisor closes out a survey, the program uses this field to document the survey from which the system updated the Equipment table. Validated by the Disposition Surveys table.

A company often leases equipment rather than purchases it. Use this field to select the Lease Code. Lease Codes are validated against the leases defined in the F&E Leases (ta_lease) table using the Asset Portal / Equipment / View and Edit Leases task.

You associate leases with equipment using the Asset Portal or Telecom Assets's View Equipment by Leases task.

MAC Address mac_address

The MAC address, also called physical address, is the media access control address. It is typically assigned to the device by the manufacturer, and is a unique network address for a device. This field is brought into Archibus using the connector import files used by the Reconcile Enterprise Data task of the Enterprise Assets application.

If assigned by the manufacturer, a MAC address usually encodes the manufacturer's registered identification number and may be referred to as the burned-in address (BIA). It may also be known as an Ethernet hardware address (EHA), hardware address or physical address.

This field stores the purchase order number for equipment. You can add it on the Cost, Purchase, and Warranty tab of the Add/Edit form for equipment. It is not validated.

Property Type

The property type describes how the property is treated when calculating depreciation. You define property types as background data. This field is necessary if you intend to track depreciation with the Assets domain.

Purchase Date

Use this field to document the date you purchase an item. Note that depreciation calculations use the Install Date and not this date to determine depreciation expenses.

Purchase Order Code po_id This validated field is currently not used. To use it, you would need to use the New View command to create views to access the PO and PO_LINE tables to develop the validating data. Real Property Unique Identifier grp_uid

Archibus provides the non-validating Real Property Unique Identifier (grp_uid) field in the Property (property), Building (bl) and Equipment (eq) tables for deployments looking to link US Federal Registry assets to Archibus asset inventory tables.

Recovery Status 

recovery_status

After an emergency, use this field to record the status of equipment. The default value is "No Status" to indicate that the item has not been affected by an emergency situation. If an emergency occurs, complete this field with the condition of the item after the emergency, such as "Unfit for Use – Recoverable." When you are ready to bring the item back on line, you can change the status to "Fit for Use."

Finally, when the item is back to its original condition and situation, you can return the value to "No Status." Set these values with the "Update Equipment Status" action of the Emergency Preparedness application.

If you decide to get rid of old equipment but still want to track it in the database, use this field to document that the equipment is salvaged and no longer being used. Note that even if this value is set to Yes, the program's calculation routines act on this equipment item.

If the equipment has a serial number, record it in this field.

An example of how this can be used is with Building Information Modeling (BIM) that derives the Equipment Code from either the ID from your asset management system, or the serial number (in GSA BIM Guide terms, this is the Equipment Primary Key.)

Source Feed Comments Source_feed_comments Comments entered when this record was updated using Archibus connectors. None
Source Record ID source_record_id When using the connectors to load enterprise data into Archibus, the system populates this field with the primary key for the record for a particular processing of the Archibus connectors using the particular source system (for example, Oracle, Maximo, SAP, etc.) Having both the Source System ID and the Source Record ID enables bi-directional updates if they are needed. Subcomponent of Equipment

If the equipment item is a component of a larger equipment item, enter the Equipment Code for the top-level equipment item in this field. Top level equipment assemblies should reference their own equipment code in this field. The Equipment Bill of Materials report uses this information to document subcomponent assemblies of equipment items.

Subnet Mask

If the equipment item is part of a net segment (subnet), and your site uses subnet masks, use this field to record the equipment’s subnet mask. All equipment items belonging to the same network segment should have the same value for this field. (In the IP addressing schema, a subnet mask is a set of bits whose values are used to more easily identify a network segment.)

Survey Photo survey_photo_eq When field assessors perform surveys, they can capture an image of an equipment item using the Photo button. Once the image is captured, the system prompts the auditor to attach it to the survey. This photo is stored in the Survey Photo field. From the Space Book Mobile app or the Asset & Equipment Mobile app, a supervisor or other user, can use this photo to review the conditions of the equipment. Document

Use this field to store the warranty covering this equipment item. Validated by the Warranties (warranty) table. You develop the validating warranty data using the Asset Portal's View and Edit Warranties task available from the Equipment process. You associate warranties with equipment using the View and Edit Equipment Information task, or the View Equipment by Warranty task available from the Asset Portal, Telecom Assets, and Commissioning Post Construction processes.
