EH&S Background Data / Define Training Programs

You can enter a variety of data about the safety-related training opportunities offered by your organization. These training opportunities can be optional or mandatory. The following training-related items can be defined in background data.

Define Training Data Examples

Chemicals/Substances

These might be training opportunities associated with a chemical or substance that requires specific instructions for safe handling and use. Examples include: Asbestos, Hydrazine, etc.

Training Categories

These are general categories within which specific training programs might reside. Examples include: General Safety, Lab Safety, Paint Shop Safety, OSHA-related, etc.

Training Types

A training type identifies the nature of the training. Examples include: Introductory, Incident-related, Project-related, Refresher Course, Substance Related, etc.

Training Programs

This item is where you provide details about a specific training class. Information can include: Program Name and Code, Prerequisites, Detailed Description and information about related substances, PPE and equipment standards.

Define Training Programs Data

To define training chemicals or substances:

  1. In the Process Navigator click EH&S Background Data to open the background data entry tab.
  2. Under Training Programs click Define Training Chemicals/Substances.

    Previously defined chemicals and substances are listed in the middle pane.

  3. In the middle pane click Add New to open the entry form in the right pane.
  4. In the entry form enter a Chemical / Substance Name and optional description.

    A typical chemical name might be PCBS.

  5. If the substance or chemical is documented by a Material Safety Data Sheet (MSDS) you enter the MSDS code to associate the sheet with the substance. Use the picker control to open MSDS Code locator and select the substance from the list.
  6. Click Save at the top of the input form to save the chemical information to the database.

To define training categories:

  1. In the Process Navigator click EH&S Background Data to open the background data entry tab.
  2. Under Training Programs click Define Training Categories.

    Previously defined categories are listed in the middle pane.

  3. In the middle pane click Add New to open the entry form in the right pane.
  4. In the entry form enter a Training Category Code (name) and optional description.

    A typical Training Category Code might be General Safety, Lab Safety, OSHA, etc.

  5. Click Save at the top of the input form to save the category information to the database.

To define training types:

  1. In the Process Navigator click EH&S Background Data to open the background data entry tab.
  2. Under Training Programs click Define Training Types.

    Previously defined types are listed in the middle pane.

  3. In the middle pane click Add New to open the entry form in the right pane.
  4. In the entry form enter a Training Type Code (name) and optional description.

    A typical Training Type Code might be initial, Project-Specific, Refresher, OSHA, etc.

  5. Click Save at the top of the input form to save the type information to the database.

To define training programs:

  1. In the Process Navigator click EH&S Background Data to open the background data entry tab.
  2. Under Training Programs click Define Training Programs.

    Previously defined programs are listed in the middle pane.

  3. In the middle pane click Add New to open the entry form in the right pane.
  4. In the entry form enter a Training Program Code and Program Name..

    A typical Training Program Code might be General Safety, Lab Safety, OSHA, etc.

  5. Associate the training program with Training Category Code by using the picker to select a Category Code from the list.
  6. Associate the training program with Training Type Code by using the picker to select a Type Code from the list.

  7. (Optional) Enter any requirements, descriptions or comments related to the training
  8. (Optional) Use the appropriate picker control to associate the following with the training program: Related Chemical/Substance, Related PPE Type, Related Equipment Standard
  9. If the Training Program must be repeated, select Yes in the Is Refresh Required drop-down and use the Define Recurrence Pattern tool to establish the refresh schedule.
  10. Click Save at the top of the input form to save the program information to the database.

If the NotifyTraining parameter is set to YES in Application Parameter background data, the employee will be sent an email when he is scheduled for a training program.
