Invoice Cost Wizard Overview

Note : If you have enabled the Archibus Enhanced Global Feature Set, the Invoice Cost Wizard presents VAT and multicurrency fields. The information in this topic (Invoice Cost Wizard Overview) provides a detailed description of the report applicable to all deployments.

After you approve costs, and optionally charge back costs, you can use the Invoice Cost Wizard to generate and manage invoices for the costs that are owed to you (costs that have a value for the Amount-Income field). You can associate costs with a new or existing invoice, issue these invoices, track the payments, view invoice and payment details, and view closed invoices. You can batch print invoices for a building, property, lease or account in one step.

If you receive an overpayment for an invoice, you can record the amount overpaid as a prepayment that can be applied to other invoices for the business contact.

You can export the data on any of the tabs to Excel.

The Invoice Cost Wizard has the following tabs:

• Assign Costs: You select approved costs to assign them to new or existing invoices.
• Issue: Preview invoices before issuing them. After an invoice is issued no new costs can be added to it.
• Manage: Manage invoice payments and prepayments, print a single invoice or batch print all invoices that meet your restriction, and view details for invoices.
• View Closed: View details for invoices that have been fully paid.

Note: The Invoice Cost Wizard does not show invoices created with the Archibus Project Management application.

Using the Filter Console

The Invoice Cost Wizard includes a Filter console that enables you to restrict the view to invoices associated with leases, buildings, properties, or accounts. If you are showing costs associated with leases, you can further select to show leases associated with a building (the default), or with a property, or with both. When you set a restriction on any tab, it is applied to the view on all tabs.

You might also have a Virtual Private Archibus (VPA) restriction to view data for only specific sites or buildings. In these cases, this is how the VPA restriction works with your selections.

CAM Charges - Display Options

If you are using Archibus to track common area maintenance costs, you can select to display CAM Costs Only, Non-CAM Costs Only, or both CAM and Non-CAM costs. When generating invoices for CAM Costs, you can set the Cost Wizard to show CAM Costs Only to facilitate issuing invoices for these costs.
