The Track EH&S Documents feature provides access to the ARCHIBUS document management system and allows the safety manager to create and manage an EH&S library of third-party safety documents. Such documents might include policy papers, procedure manuals, workplace evaluation documents, equipment maintenance records, regulatory audit results, etc.
In addition, documents related to incidents, medical monitoring, training and personal protective equipment (PPE) can also be archived using the Track EH&S Documents feature.
For your convenience, all the documents fields in other EH&S application views are also displayed in the Track EH&S Document view. This allows you to get complete document-related information in a single view. For example, when working in the Incident, Incident Witness, or PPE Type views you can add document-related information to each. The information that you add in these views is presented in the Track Documentation view.
You can organize documents in a variety of ways to support convenient access. However, it is best to set up a system of safety-related document folders, categories and types in the EH&S Background Data Document Library task area to support the classification of safety-related documents. This makes it easier to locate documents because you can search for them by safety-related folder, category and type. In addition, when adding or editing a document you can associate it with an incident, a medical monitoring event, a PPE type or a training item.
The main tasks a safety manager will perform using Track EH&S Documents include:
The Filler pane provides great flexibility for conducting a document search. For example, you can search for a document by its author, category, type and title. You can also search for a document related to an incident, a medical monitoring, a PPE type or a training event. You can even search for documents based on geographic location and date range.
The EH&S application provides the safety manager with a window into the Archie document management system. This sophisticated management system is a powerful tool that supports the editing of source documents, document versioning and other document source control operations.
Within the context of the EH&S Help system, the discussion of document editing will be limited to adding and changing safety-related information associated with, or attached to, a library document.
Refer to Using the Document Management System for information about exploiting the full power of the ARCHIBUS Document Management System.
