Assigning Hazmat Assessment Items to a Field Assessor

Note: As part of generating the hazmat assessment items, a manager may automatically assign them to a field assessor. In this case, the environmental hazard manager can skip this step. See Generating Hazard Assessment Item Records.

Typically, an environmental hazard manager generates assessment items and then assigns the generated items to a specific hazmat field assessor. The assessors go to the field and assess these particular items and enter their observations. Depending on how detailed the procedures are at your site, field assessors may assess an area several times during a hazmat project. For example, they may:

• perform a quick, initial assessment to understand the scope of the project and estimate the cost of a full assessment
• for a full assessment, assess risk rating and response actions
• for a full assessment, estimate cost of response actions
• verify the response actions by performing air monitoring and other tests

You can assign assessment items to a field assessor (Assessed By) and/or an inspector (Inspector/Assigned To). You can use both or only one of those fields depending on your preferred process for a given project or individual assessment items. The options are:

• Use both fields: Your hazmat process involves having an internal employee perform field assessor tasks such as an initial pre-assessment, cost estimates, assess risk ratings and responses based on knowledge of the area, etc., and a different person (inspector) perform the actual hazmat inspection (i.e. collect samples and send to lab for testing). The inspector typically needs to have proper accreditation/certification. The inspector can be an internal employee or an outside contractor.
• Use the Assessed By field only: Your hazmat process involves using the same internal employee for all field assessor and inspector tasks for a given assessment item, and you do not need/wish to track the employee’s accreditations/certifications for handling the hazardous substance in question.
• Use the Inspector/Assigned To field only: Your hazmat process involves using an external contractor for all field assessor and inspector tasks for a given assessment item, or using the same internal employee for both roles and you wish to track the employee’s accreditations/certifications for handling the hazardous substance in question.

Assigning Field Assessors in Bulk

1. On the Process Navigator, select the Manage Assessment Items task.

2. Select the hazard assessment project to see a list of existing assessment items for this project.

• The system shows as many assessment items for this project, as can display in the lower pane.
• If necessary, use the filter console to limit the list of assessment items. For example, you may wish to see items only for a particular floor.
• Review the assessment items in the lower pane, and select those you wish to assign to the same field assessor by clicking on the items' check boxes.
• Choose the Assign Selections/Assign to Assessor button. The system displays a dialog with an Assessed By field.

• Click the ellipses button to access a list of field assessors. For information on developing field assessors, see hazardous material field assessor.
• Select a field assessor from this list, then click the Assign button.

Editing a Field Assessor Assignment

The above procedure is handy for assigning a field assessor to several assessment items at one time. If the situation later changes and you need to edit one of these assignments, follow this procedure. You can also use this procedure to make one assignment at a time.

1. On the Process Navigator, select the Clean Building / Environmental Hazard Manager / Manage Assessment Items task.

2. Select the hazard assessment project to see a list of existing assessment items for this project. If necessary, you can filter the list of existing assessment items using the Filter console in the top frame.

• Review the assessment items in the lower pane, and find the item for which you wish to change the field assessor.
• Choose the Edit button and the system presents a form with all properties of the assessment item. Edit the Assessed By field as necessary.
• To make an assignment for the first time, select an assessor from the list. The list of available field assessors comes from the users in the ARCHIBUS Users table that meet specified crtieria. For information, see hazardous material field assessor.

Note: Some sites may use outside contractors for field assessors. In this case, you would define the field assessor in the Hazardous Substance Professionals table and use this task's Assign Selections/Assign to Inspector button.
